Under limited supervision, provides operational coordination, administrative support, and project management.  Manages the day-to-day administrative and secretarial support activities of the medical department as well as coordinates and maintains the offsite medical utilization.

  • Provides administrative assistance and support to the healthcare managers in problem solving, management and development and execution of stated departmental goals and objectives.
  • Oversees and administers the day-to-day activities of the medical department to include purchase requisitions, time and attendance and personnel credentials.
  • Serves as a primary point of direct contact and liaison with other offices and departments, individuals and external organizations and agencies on a range of specified issues; organizes and facilitates meetings and meeting preparation as required.
  • Provides direct staff support to the healthcare managers to include greeting and assisting visitors, handling telephone calls and inquiries, scheduling and maintaining calendar and appointments, screening, analyzing and preparing responses to incoming correspondence.
  • Assists with establishing protocols, procedures, and guidelines for utilization management and review.
  • Schedule, track and maintain offsite patient appointments.
  • Provide reports of all offsite utilization.
  • Review claims for processing.
  • Participates in the Continuous Quality Improvement Program.
  • Performs duties as assigned/necessary which are related, or logical in assignment to the position.

Minimum Qualifications

Education/Experience: High School Diploma or GED; supplemented by four (4) years responsible experience in administrative/secretarial support functions; at least one (1) year hands on experience with Microsoft programs (Word/Excel); experience in a medical setting preferred. 
 
Miscellaneous: Must have a valid Florida’s Driver’s License.

  • Working knowledge of record keeping practices. 
  • Must be able to work with people from all walks of life. 
  • Must be able to communicate both orally and in writing. 
  • Ability to accurately follow simple orders.
  • Word processing and data entry skills
  • Organizing and coordinating skills.
  • Skills in the use of database management, word processing, spreadsheet and presentation software
  • Ability to access, operate and maintain various software applications; ability to read, update and maintain various records and files.
  • Ability to work independently. 
  • Ability to operate basic office equipment, e.g., computer terminals, printers, copy machines, telephone systems, facsimile machines.
  • Ability to perform duties with a professional and cooperative work ethic; ability to maintain confidentiality.
  • Ability to establish and maintain effective working relationships with inmates, health, and corrections professionals.
  • Ability to sit, stand, walk, or climb stairs for extended periods of time.

Physical Demand Requirements:

  • Physical Demand: Light

  • 20 pounds maximum lifting.

  • Frequent (up to 2/3 of the work time) lifting, carrying up to 10 lbs.

  • If less lifting involved will require significant walking/standing may be required.

  • If mostly sitting is involved will require push/pull on arm or leg controls.

  • Expressing or exchanging ideas by spoken word or perceiving sound by ear.

  • Good eyesight for production or safety of self and others.

  • Physical agility is required in kneeling, bending, stooping, and reaching.

  • Required to have clear vision at distances of 20 inches or less.
