Description

STATEMENT OF PURPOSE

Under the supervision of the Marketing Manager, the Internal Communication Specialist is responsible for developing and supporting all JRMC employee communication, employee collateral and tools, maintaining and elevating the brand image of the JRMC campus and ensuring the quality and accuracy of all point of care promotional tools. The purpose of this role is to proactively work to ensure JRMC employees have every opportunity to be well-informed with accurate and timely communication and JRMC’s image is presented throughout campus in a manner that increases our brand’s value. 


The Internal Communication Specialist treats employees as stakeholders and ensures quality communication to achieve organizational excellence. Those communication opportunities include but are not limited to maintaining and further developing the employee intranet (TheCore), proper execution of JRMC documents and presentations, employee forums as well as supporting the communication needs of a variety of JRMC committees.


Internal Communications is also responsible for deepening the awareness of JRMC products and services within our existing patient database. This responsibility involves building patient “journeys” that distribute targeted, value-driven communication to encourage ongoing top of mind awareness of JRMC.


The Internal Communication Specialist must be able to work in an office setting and travel around the campus and community. This person will regularly collaborate with employees and key stakeholders. The role can be fast-paced and demanding. The Internal Communication Specialist will champion many responsibilities at the same time, face numerous deadlines and fulfill the internal communication needs for a broad range of teams. This position must be flexible, organized and embrace change. 


 This is a Full time benefited position working 80 hours a pay period. Days of work are Monday - Friday. Some events will require evening and weekends work. No holidays.  


JOB FUNCTIONS

  • leads governance, maintenance, accurate component functionality and ongoing development of JRMC Intranet (TheCore)
  • acts as site administrator, maintaining accurate security groups and intelligent architecture
  • champions quarterly Employee Forums by preparing themes, promotion and content aimed at engaging JRMC employees
  • conducts regular measurement and creative consulting on the effectiveness of JRMC employee communication tools, including metrics derived from Intranet traffic, forum surveys and the annual Communication Survey
  • proactively collaborates with Human Resources, the JRMC Foundation, JRMC Excellence Committees and other internal teams to prepare internal marketing plans and ensure various cycles and initiatives are well communicated
  • regularly audits the JRMC campus to ensure all displayed collateral and signage meets JRMC’s high standard 
  • maintains accurate inventory of permanent campus signage and prepares needs, bids and work request for signage updates
  • prepares designs for temporary signage to address urgent needs
  • ensures the availability, accuracy and efficient and accurate use of JRMC point-of-care communication tools and JRMC corporate collateral
  • provides formatting as needed for JRMC forms, policies, procedures, planners, PowerPoints and other routine documents
  • leads ongoing development of centralized JRMC presentation library (Vimeo)
  • ad hoc production needs (i.e., lamination, printing, assembly, folding) that are completed internally
  • facilitates the execution of all routine imprint-able employee items, including clothing, gifts and swag
  • serves as a member of JRMC’s Reward & Recognition Committee, which may include event planning, communication and photography
  • owns the complete public relations scope of work (press releases, photography, social media, etc.) associated with all JRMC awards and celebrations, including externally derived recognition
  • utilizes JRMC’s email and SMS marketing tool to conduct outreach to existing JRMC patient database
  • prepares journey messaging, intelligent algorithms to respond to recipient behaviors and maintains metrics on overall communication performance 
  • maintains and develops great relationships with key partners and employees
  • other duties as assigned

Knowledge, skills and experience preferred:

  • strong knowledge of web structure, particularly intranet functions, online form development and web-based workflows 
  • strong ability to develop messages in a way that engages employee interest and communicates “the why”
  • ability to demonstrate impact of work (metrics)
  • experience in Customer Relationship Management system or similar consumer database 
  • excellent organizational skills
  • excellent interpersonal and verbal communication skills
  • excellent analytical skills and a knack for data analysis
  • strong prioritization, organization and project management skills
  • experience with marketing communications and marketing plans
  • proficient in AP Style
  • proficient with Microsoft Office Suite and Adobe Creative Suite

Requirements

QUALIFICATIONS/REQUIREMENTS FOR THIS POSITION:

  1. PREPARATION AND TRAINING - Bachelor’s degree or relevant experience in Business, Marketing, Communications or related area
  2. WORK EXPERIENCE - Work requires one to three years of experience in marketing, communications, event planning, public speaking, fundraising or similar field which builds and maintains relationships. Must have excellent planning, organization, communication, and follow-up skills. Strong attention to detail is a must. Experience with writing, website updates, design programs such as the Adobe Creative Suite are required 
  3. ATTENDANCE - Punctual and regular attendance is an essential responsibility of each employee at JRMC. Employees are expected to report to work as scheduled, on time and prepared to start working. Employees are also expected to remain at work for their entire work schedule.
  4. ANALYTICAL ABILITY - Analytical ability required in the design and execution of event strategies.
  5. INDEPENDENT JUDGEMENT - Independent judgment required to establish priorities. Complete assignments, meet due dates as assigned for project. Must have the ability to manage multiple projects at a time. Must be highly organized and accountable for team’s deadlines, while promoting teamwork. 
  6. CONTACTS WITH OTHERS - Job requires social sensitivity and the ability to communicate effectively with all publics (and employees).
  7. SUPERVISING THE WORK OF OTHERS - None. 
  8. RESPONSIBILITY FOR WELFARE OF OTHERS - Responsibility would be infrequent with the potential for minor delays with little effect on the long-term physical or emotional well-being of others.
  9. MENTAL/VISUAL EFFORT - Must be able to speak and write the English language in an understandable manner. Must be in good general health and demonstrate emotional stability.
  10. WORKING CONDITIONS - Good working conditions in a well-lighted office with modern office equipment. Is subject to frequent interruptions. Participates in and complies with JRMC Safety Management Program and Standard Precautions. OSHA JOB CLASSIFICATION, THIS POSITION IS DEFINED AS A CATEGORY II: Employee does not have exposure to bloodborne pathogens.
  11. PROMOTION - Promotion within the department is available.
  12. BACKGROUND CHECK -   A comprehensive background check and drug screening will be conducted as a condition of employment for this role.
  13. DRUG SCREEN - A urine drug screening is required for all positions and must be completed within 30 days of the date of hire.
