Position Overview

The Medical Records Coordinator ensures the accurate, timely, and compliant management of patient medical records and supporting documentation. This role manages incoming and outgoing records, coordinates record requests across departments, supports clinical and billing workflows, and ensures documentation is properly maintained within applicable systems. The Medical Records Coordinator works closely with clinical, administrative, and billing teams to maintain record integrity and support efficient patient care.

Key Responsibilities

Manage incoming and outgoing medical records, ensuring requests and documentation are processed accurately and timely.

Process medical risk assessment documentation and ensure associated records are appropriately maintained and routed.

Maintain and update Excel authorization tracking sheets for clinical records needed by the Billing Team.

Monitor and process medical records requests received through departmental email, including requests from clinical, administrative, billing, and other internal teams.

Manage the front office mailbox, ensuring incoming records, correspondence, and documentation are reviewed and routed appropriately.

Process legal medical records requests in accordance with applicable privacy, confidentiality, and records-release requirements.

Use PowerShare to access, receive, share, and manage patient imaging and related records.

Review and correct imaging documentation in MIMS, including resolving record or imaging discrepancies as needed.

Request medical records related to hospital admissions, including submitting requests by email and following up to obtain necessary documentation.

Track and update patient records within the electronic medical record (EMR) to maintain accurate and current documentation.

Perform quality checks on medical records to identify missing, incomplete, duplicate, or incorrectly filed documentation.

Process requests for the release of medical records and maintain appropriate documentation and tracking of releases.

File, retain, and archive medical records according to organizational policies and applicable requirements.

Generate and maintain reports, logs, and tracking tools related to medical records activities and outstanding requests.

Coordinate with all departments and teams to respond to medical records needs and resolve documentation issues.

Identify opportunities to improve medical records workflows, tracking processes, and documentation efficiency.

Provide administrative support to clinic staff for medical records, imaging, and related documentation needs.

Requirements

Required

Associate’s or Bachelor’s Degree

1+ years of experience managing medical records and PCP authorizations

Strong attention to detail and organizational skills

Excellent communication skills

Professional, friendly, and confident interpersonal skills

Proficiency in Microsoft Office (Excel, Outlook, Word) and standard office equipment

Preferred

Prior experience in a medical office setting

Experience working with Electronic Medical Records (EMRs)

Experience obtaining PCP authorizations and managing medical records

Familiarity with HIPAA compliance and records management best practices

Hours:

Monday – Friday, 8:00 AM – 4:30 PM
