As our US team continues to grow, we're looking for an organised, proactive and detail-oriented Project Coordinator to support the delivery of world-class events across a portfolio of global client accounts.
This is an excellent opportunity for someone with early-career event experience who is looking to develop their project management skills within a fast-paced global agency environment.
About the Role
As a Project Coordinator, you'll provide essential project management, administrative and logistical support across multiple events and client programmes.
Working closely with Project Managers, Producers and wider delivery teams, you'll help keep projects organised, on schedule and running smoothly. You'll play a critical role in maintaining project documentation, coordinating event logistics, supporting client communications and ensuring the highest standards of delivery throughout the event lifecycle.
This role is ideal for someone who enjoys working in a fast-moving environment, thrives on organisation and is passionate about delivering exceptional experiences.
What you'll be doing
Project Coordination & Administration Own and maintain key project documentation including timelines, running orders and status trackers
Support Project Leads and Producers with day-to-day project administration
Schedule internal and client meetings, prepare agendas and distribute detailed meeting notes and action items
Assist with the creation and coordination of post-event reports, debrief documents and client feedback analysis
Ensure all project documentation remains accurate, up to date and aligned with Nteractive processes and standards
Event Logistics Coordinate crew logistics across multiple projects and events
Manage freelancer onboarding and contracting processes
Arrange and communicate crew travel, accommodation and event logistics
Compile and distribute detailed crew joining instructions and event information
Support onsite planning and operational readiness activities
Client & Supplier Support Deliver exceptional customer service to clients, suppliers and internal stakeholders
Build positive working relationships across project teams
Support venue sourcing, supplier research and proposal development activities
Assist with supplier RFP processes and client response documentation
Ensure communications are clear, professional and timely
Continuous Improvement Follow and contribute to the Nteractive Project Management Framework
Proactively identify opportunities to improve processes and efficiencies
Learn from project feedback and event outcomes to continually strengthen delivery standards
Support compliance with company policies, information security requirements and operational procedures
What you will bring
1–2 years' experience supporting the delivery of events, conferences, exhibitions or live experiences
Strong administrative and organizational skills within a fast-paced environment
Excellent attention to detail and ability to manage multiple priorities simultaneously
Strong written and verbal communication skills
A proactive, solutions-focused approach with a strong customer-service mindset
Ability to work collaboratively across teams and build effective working relationships
Intermediate to advanced Microsoft Excel and PowerPoint skills
Strong overall technology proficiency and confidence working with project management systems
Passion for events and a desire to build a long-term career in event delivery and project management

Compensation $55,000 – $65,000
Compensation is determined based on factors such as geographic location, skills, education, experience, and its relationship to the compensation of current team members in similar positions.
