Senior Communications Specialist - Internal Communications

The Senior Internal Communication Specialist is a strategic thinker with exceptional content strategy and writing skills who can develop and execute effective multi-channel communication plans that target patients, employees and providers. The position is responsible for day-to-day coordination of all system internal communications, including content planning, scheduling and development, and produces a wide range of organizational messaging across platforms and channels. This position acts as a liaison and resource between the MarCom team and key operational departments and stakeholders throughout the organization to identify positive stories within Bronson and in the work our teams do across the community; to inform employees and build engagement; and to boost Bronson’s reputation as a top employer and trusted leader in healthcare. The Senior Internal Communication Specialist is a key resource for the HR team and collaborates on the development of messaging and materials to promote employee events, total rewards, learning and development opportunities, and other HR initiatives that advance the organization’s Employee Value Proposition (EVP). The Senior Internal Communication Specialist is also a key resource for provider and clinician communications, working closely with medical staff and nursing leadership to optimize information sharing, promote transparency and foster collaboration between clinicians and administration. Works with members of the MarCom team to ensure consistent brand message and tone across audiences and channels, and represents Bronson at meetings and events throughout the community. Reports to and works closely with the System Director of Internal Communications and PR.

Duties/Responsibilities

System Internal Communications

  • Collaborate with leadership across entities to extend system-level communication support and leverage opportunities to enhance cultural integration.
  • Serve as the point of contact for departments across the system to share information with internal audiences.
  • Produce content and collaborate with IT to update and maintain internal-facing materials, communication platforms and channels across the system.
  • Oversee and maintain the employee intranet homepage.
  • Maintain intranet editorial calendar for featured news section, monitor and schedule submissions, and develop graphic templates and content for featured news and general stories on Intranet.
  • Post alerts on-demand for planned outages and downtimes, operational issues, and other urgent notifications to staff and providers.
  • Collaborate with department leaders and IT to update, expand and improve key sections of the intranet and reinforce this platform as a hub and source of truth.
  • Draft and send emails to notify employees of important news and organizational updates, and to promote the good work of our staff and providers.
  • Draft real-time emails on behalf of multiple departments and senior executives on a variety of strategic and operational topics, including facility or construction updates, system-wide organizational changes, opportunities for employee involvement, etc.  
  • Oversee the Constant Contact account, and serve as a resource for other internal teams utilizing the platform to send messages by providing communications guidance, editing support, platform training, etc. 
  • Develop/distribute content to promote Town Halls and other employee meetings across internal channels.  
  • Support the development of slide content and other presentation materials for Town Halls.
  • Compile follow up QA document, and work with HR and appropriate departments to finalize and post the document and video recordings to the HR intranet page.

HR and Employee Communications  

  • Work with HR leaders and teams to develop & implement communication plans for system-wide employee events, including drafting event promotions, video scripts, presentations/remarks, signage and other event materials.
  • Partner with employee experience team to develop the communication plan and materials for employee engagement surveys.
  • Work with total rewards team to develop a proactive annual calendar of key events and activities, as well as corresponding communication plans to promote and educate employees about open enrollment and their benefit offerings throughout the year.
    • Work with Center for Learning (CFL) to promote the various educational opportunities and resources available to employees to support their growth and advancement.

Provider, Nursing & Clinician Communications

  • Contribute to the development of a provider and clinician communications program, optimized platforms and communication channels, and ongoing stakeholder coordination for the deployment of provider and clinician communications.
  • Support the development and distribution of communications to employed providers and the medical staff as outlined in the provider communications strategy and at the direction of medical staff and administrative leadership.
  • Coordinate the creation and distribution of a wide variety of internal and external communications including intranet updates, newsletters, videos, feature stories, social copy, talking points and other messaging. 
  • Support planning and communications for the quarterly Medical Staff meetings and other events/meetings as requested.

Key Operational Department Communications

  • Partner with IT/M365 team and serve on governance committee to inform decision making and develop branded templates for Microsoft applications and other system communication platforms/tools
  • Collaborate with various departments and leaders to craft and deploy operational system and entity communications related to facilities, security, parking, closures, and incidents
  • Develop a wide variety of communications to promote quality, safety and patient experience system initiatives and awards.
  • Partner with key corporate service and clinical departments to develop communication plans, build communication infrastructure, and implement communication programs
  • Provide internal communications support for Bronson Health Foundation campaigns such as Employee Giving, United Way, Walk & Run, etc.

Education/Experience

  • Bachelor’s degree in marketing, communications, public relations, or related field.
  • Minimum of 10 years of professional experience with a strong background in internal communications, marketing, strategic communications, social media and employee engagement.
  • Experience working in healthcare, specifically communicating with the clinician audience, and with SharePoint.
  • Excellent writing skills and demonstrated experience creating compelling content that engages employees and enhances their employee experience.
  • Ability to work in a fast-paced environment and balance multiple work demands while being responsive and ensuring quality work product.
