Job Description:

Duties/Responsibilities Coordinates the design, build, modification, and maintenance of provider scheduling templates in Epic system

Ensures scheduling templates comply with organizational standards, provider contracts, clinic workflows, and Epic system best practices

Manages template changes related to provider onboarding, departures, schedule adjustments, leave coverage, and clinical programs/initiatives

Monitors template accuracy and proactively identifies gaps affecting access, utilization, or patient flow

May assist with design, maintenance, and optimization of scheduling decision trees in Epic system

Maintains, monitors, and adjusts space-allocation assignments for clinics in room scheduling system

Provides administrative and department support to designated leader(s), including calendar management and prioritization of competing schedule demands

May prepare meeting agendas, presentations, and support materials for designated leader(s)

May support special projects, initiatives, and ad hoc requests as assigned by leadership

May assist with maintenance and approval of payroll and PTO as assigned by leadership

Abides by organizational and HIPAA guidelines and privacy practices

Supports and promotes hospital and departmental performance improvement goals

Ensures quality care through compliance with departmental and organizational policies and guidelines, and external agency guidelines, standards, or regulations

Supports departmental initiatives and change efforts

Practices financial and resource stewardship

Engages in strong communication, acts as team player in supporting mission and vision of organization, and abides by organization’s core values

Maintains confidentiality and exercises discretion when handling sensitive information

Additional duties as assigned

Required Skills/Abilities High school diploma or equivalent required

Bachelor’s degree preferred

Minimum 2-years’ experience in medical office or healthcare setting required

Experience with Microsoft Office required

Management of provider templates in Epic preferred

Experience with scheduling decision trees in Epic preferred

Strong written and verbal communication skills required

Strong organizational and interpersonal skills required
