Job Summary
The Program Coordinator is responsible for supporting the day-to-day administration, coordination, and operational execution of the training program at the assigned campus. This role serves as a primary point of contact for trainees, faculty, and program leadership, ensuring that educational activities, onboarding processes, recruitment logistics, and site-specific operations are carried out efficiently, professionally, and in alignment with program standards.
Qualifications
Primary Responsibilities
Serve as a primary administrative resource for trainees by providing timely day-to-day support, communication, and issue resolution.
Coordinate didactic sessions, conferences, and other educational activities, including scheduling, materials preparation, room reservations, and related logistics .
Manage onboarding coordination for trainees, including identification badges, white coats, scrubs, lockers, and other site-specific access and readiness needs.
Coordinate recruitment and interview-day operations, including interview scheduling, candidate communication, itinerary development, virtual and on-site logistics , faculty reminders, RSVP tracking, and management of interview materials and shared files.
Provide operational support for educational events and special programming to ensure smooth execution and a positive participant experience.
Support Associate Program Directors and other program leadership through proactive communication, scheduling assistance , and administrative follow-through on program priorities.
Coordinate orientation planning and execution for incoming trainees, ensuring all required materials, schedules, and operational details are in place.
Manage site-specific workflow processes to ensure continuity, consistency, and responsiveness in daily program operations.
Process and coordinate program-related expenses and administrative transactions, including sponsored event forms, reimbursements, purchase orders, payment coordination, and operational purchasing.

Knowledge, Skills and Abilities
- Strong knowledge of the healthcare industry, including an understanding of medical terminology, healthcare regulations, and the dynamics of healthcare provider organizations.
- Excellent interpersonal and relationship-building skills are essential for building and maintaining strong connections with healthcare providers.
- Strong logistical and project management skills are important for coordinating multiple aspects of events, including venue selection, scheduling, and resource management.
- Exceptional verbal and written communication skills are necessary for effectively conveying information, delivering presentations, and facilitating discussions with healthcare providers, internal stakeholders, and external partners.
- Proficiency in collecting, analyzing, and interpreting data related to program evaluation and outcomes.
