The Food Safety Quality Coordinator (FSQ Coordinator) assists the MegaMex Foods Quality and Sales divisions in responding to customer surveys, portals and product information requests. This includes locating and inputting approved information into customer portals and creating/maintaining accurate product specifications that are provided to customers.
Major Primary Duties:
Answer requests that include reviewing and updating specific product and company information into customer surveys

Current and future customer survey and/or requests are to be completed in a timely manner in order for MegaMex Foods to maintain and/or grow the business. Information requested ranges from allergen information, emergency contact information, ingredient listings, country of origin listings, packaging information, food safety activities, and quality specifications to nutritional information. A high level of product knowledge is required in order to accurately process the requests; this includes recognizing discrepancies in information.

The incumbent is responsible for being resourceful in obtaining the needed information from several resources such as Optiva, Specifications, or BLUE, within the Company. Information must be current and accurate as it is used by the customer to evaluate MegaMex Foods and its products. The incumbent must know what information can and cannot be shared. An agreement may exist between the customer and MegaMex Foods to determine what level of information will be shared. The incumbent will also monitor billing for the subscription to the databases.

Customer (internal and external) requests apply to both private label and MegaMex Foods branded products. Requests are completed for products sold through all channels and may change as the overall business of MegaMex evolves.

For Example : Walmart is a large private label customer of MegaMex Foods, as well as a carrier of MegaMex branded products. A score card is developed by Walmart and product information is requested. The incumbent will log into the Walmart system and enter in specifically requested information: packaging dimensions, nutritional information, ingredient listings and allergen information. The incumbent has to research internal databases and contact resources to gain the information. The incumbent is aware of the information agreement between MegaMex Foods and Walmart and shares information in compliance to that agreement. The information entered by the incumbent has to be timely and accurate. Information that is not timely or accurate can affect the score MegaMex Foods receives. A low score can jeopardize current and future sales with Walmart.

Update or create product specifications and nutritional information for products.

Sales representatives will contact the incumbent and request updates to product specifications for a particular item or to have new specifications created. The new specifications are then saved onto our H drive. The Sales Representative may be trying to acquire new product sales or higher tonnage of existing items. The Sales Representative will provide some information to the incumbent and some information the incumbent may need to research internally. The incumbent works with operations, R&D, regulatory, legal and packaging to gain this information. Detailed, Organizational, and Resourceful skills are needed especially while creating specifications for new products that are not currently in production. The incumbent then updates the product specifications and product summary databases.

The incumbent either looks up the product to see if there’s tested Nutritionals or calculates the Nutritional Labeling information. The incumbent may have to convert sample sizes to weight measures requested by the database they are entering the information into. The incumbent must also be able to compute percent range of chemical assays and formula ranges as requested.

For Example : A Sales Representative contacts the incumbent requesting product specifications for a new product to be made at Don Miguel Foods. The Sale Representative suggests the product is a combination of two other existing products. The incumbent will look up specifications of those two items and draft new specifications and send them on to the Sales Representative. They will work together to adjust the specifications until the information is accurate and operational for the Sales Representative.

Responsible for the maintenance of finished product specifications and customer inquiries related to production at MegaMex plants and co-packers

For Example: The MegaMex Rapid Innovation Team (RIT) is launching a new product. You are responsible for the creation and maintenance of specifications for products. As the product gains distribution, you ensure that the specifications contain accurate information for customers to reference as they bring on the new items.

Recognizing upcoming issues within the industry.

The incumbent is the first to receive customer requests. As new topics hit the industry such as FSMA (Food Safety Modernization Act) Compliance, Animal Welfare Issues, GMO’s (Genetically Modified Organism) or changes to Child Nutritional regulations, the incumbent must recognize when these trends start to require attention. They will notify the Labeling and compliance supervisor and work to create a standard company answer for the customer requests.

Cover correspondence and other routine duties when the FSQ Corporate Staff is out of the office.

The incumbent will cover correspondence with customers when the FSQ Corporate Staff is out of the office. This correspondence may include but not be limited to: shelf life extension letters, Kosher certification, gluten free validation, allergen information, or COC’s on microbiologic testing, and ingredient Country of Origin. These letters are often time sensitive and become top priority. The information for the letters is obtained by reaching out to the appropriate electronic or human resource in order to provide accurate information in the limited timeframe given.

The incumbent may also cover the product cuttings at R&D representing the Quality Department. Responsibility includes taking notes during the cutting and documenting the non-acceptable findings results from plant to communicate with the group at the cutting. At the cutting, the incumbent records the code dates, manufacturing location and deviation from specifications noted by the team. The incumbent takes notes and after the cutting, summarizes the notes and measurements and sends the information to the FSQ Corporate Staff and those who attended the cutting as well as the plants whose product was represented at the cutting.

Review and approve case labels for MegaMex

The incumbent is responsible on reviewing and approving case labels for each finished product based on regulatory/QC guidelines

SALSIFY/DAM and MI approvals

The incumbent should cross reference information between SALSIFY and approve items accordingly for QC/Regulatory. This person will also receive Master Item approvals.

Claims and COI approvals

The incumbent should review/approve customer complaints claims with the insurance company and QC departments. Incumbent should generate COI for vendors.
(including uploaded pictures) in the display results. At the cutting, the incumbent will communicate any insight or information that the FSQ Corporate Staff had passed on to them prior to the cutting.

Education and/or Experience: High school or an equivalent combination of education and experience.
Language Skills: Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Spanish is preferred.
Mathematical Skills: Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
Computer Skills: To perform this job successfully, an individual should have knowledge of most commonly used business systems and software applications in addition to Windows Office and how these systems relate to business processes.
