Calendaring and Events
▪ Serve as primary room scheduler for all MSTP events.
▪ Assist with MSTP-related calendaring for Director and other MSTP team members.
▪ Maintain the MSTP Calendar of events including the Celebrations calendar.
▪ Primary on-site delivery contact, responsible for food set up and take down for various MSTP events as assigned.
▪ Assist Senior Program Manager with larger-scale programming events as assigned.
▪ Participate onsite during local MSTP events to provide day-of assistance.
Admissions and Recruiting
▪ Assist Assistant Director with various recruitment tasks and event logistics as assigned.
▪ General administrative assistance related to recruitment travel logistics and materials preparation.
▪ General administrative assistance related to the undergraduate summer research program as assigned.
Content and Data Management
▪ Assist with content management on MSTP website, monthly newsletter, and social media platforms, keeping content accurate and up to date.
▪ Prepare weekly Seminar feedback reports for student presenters.
▪ Utilize REDCap web application to assist with survey administration, compliance tracking, updating MSTP trainee and alumni database, and data collection for program evaluation.
Miscellaneous
▪ Perform all duties essential to day-to-day office operations including digital file organization, drinks and supplies maintenance and storage, including as a procurement shopper and OneCard holder, as necessary.
▪ Provide back-up support to Senior Program Manager, as appropriate, assisting with coverage and keeping operations timely and on track.
▪ Enrich positive team dynamics and successful operational procedures by routinely engaging in a variety of self-assessment opportunities (annual reviews, team meetings, data analysis) and continuously reflecting on individual performance and contributions.
Supervisory Relationships:
This position does not have supervisory responsibility, this position reports administratively and functionally to the Senior Program Manager.
Education and Certifications
▪ A bachelor's degree from an accredited institution of higher education, or equivalent combination of education and experience is required.
Experience and Skills:
▪ At least 2 years of work experience, preferably in an academic or healthcare-related setting, is preferred.
▪ Experience in program administration and coordination is preferred.
▪ Experience planning small and/or large-scale meetings or events is preferred.
▪ Experience with REDCap or other survey/database systems is preferred.
▪ Established computer skills, specifically proficient use of Microsoft Excel, are necessary.
▪ Effective oral and written communication skills are necessary.
▪ Minimal weekend/weeknight availability is necessary.
