The Project Coordinator works in concert with project management to help ensure successful project delivery. The Project Coordinator requires excellent organizational skills and ability to work under the pressure of multiple deadlines and multiple teams. Ability to plan and prioritize tasks and the ability to manage multiple concurrent projects.

YOUR IMPACT
Assembles all Design Deliverables (Schematic, Design Development) and Presentations.
Coordinate documents for OAC meetings, agendas, meeting minutes, Friday reports and action items for major projects.
Assists Project Team with Bidding/Proposal Materials (Advertisements for Proposals, Proposal Documents, Recommendation Letters, Bid Tabulations, etc.).
Prepares AIA contracts and fee proposals.
Assists Project Managers with obtaining, tracking, and submitting State Agency, City, County Permits & Applications.
Coordination and tracking of all Project Documents (PNR, Submittals, Change Orders, Pay Applications, Allowances, Warranty).
Assists team in developing project write ups for marketing purposes. (Deltek)
Assists project team in long range facilities master planning and facilities assessments.
Supervises, schedules, trains, and mentors Admin Assistants assigned to their team.
Executes format of files and saving in folder structure.
Coordinates with assigned managers to ensure BEAM projection schedule is up to date.

HERE’S WHAT YOU’LL NEED
Proficient in Adobe Creative Suite and Microsoft Office Suite software.
Proficient in Smartsheet, Bluebeam, Prolog (and/or other project management software) preferred.
Excellent verbal and written communication skills.
Must possess the ability to interact and represent the firm well with clients, consultants, vendors, and external organizations on behalf of the senior management team.
Ability to work and effectively communicate with all levels in and outside the organization.
Strong attention to details, including proofreading.
Ability to work well under pressure, juggle and prioritize multiple projects and adjust work accordingly, often against tight deadlines.

HERE’S HOW YOU’LL STAND OUT
Bachelor’s Degree strongly preferred.
Previous experience in a professional services firm (architecture, engineering, construction) is strongly preferred.

The actual offered base salary for California locations will vary depending on factors such as individual qualifications, education, experience, skills, job-related knowledge, work location, and internal equity. We would not anticipate that the individual hired into this role will be at or near the top half of the range provided, but the decision will be dependent on the factors of each individual case. The compensation package may also include incentive compensation in the form of discretionary bonuses in addition to base salary and a full range of medical, financial, and other benefits. The salary range for this position is below.
