Where is the work:
Monday to Thursday, work onsite with your colleagues. Fridays, choose your work location, balancing what your work requires.

Our Contracting Project Coordinator will work to support the administration, implementation, and successful delivery of HVAC equipment and contracting projects. Working under minimal supervision and in close partnership with multiple Project Managers, this role is responsible for coordinating project documentation, procurement, scheduling, job costing, forecasting, invoicing, and administrative closeout activities across multiple projects at various stages of completion, including large and complex assignments.

The Contracting Project Coordinator will help ensure that assigned projects are completed in accordance with contract requirements, scope, schedule, and budget, while maintaining strong communication with customers, internal teams, subcontractors, and field staff. This role plays a critical part in supporting operational excellence, financial accuracy, customer satisfaction, and timely project execution.

What you will do:
Coordinate the transition of projects from Sales to Operations by following established standard work and processes across multiple enterprise systems.

Administer assigned projects throughout the full project lifecycle to support contract compliance, accurate documentation, and successful delivery.

Support multiple Project Managers with project coordination activities across a portfolio of projects of varying size and complexity.

Plan and analyze assigned projects by supporting and assisting in establishing schedules, project parameters, procedures, and milestones to achieve project objectives, including complex equipment applications.

Support and assist in establishing project schedules, including tasks, estimates, dependencies, and milestones.

Manage procurement activities in alignment with project requirements, including material ordering and tracking, purchase orders, subcontracts, and equipment orders.

Compare estimated ship dates with contractor schedules and ensure compliance with internal equipment ordering processes.

Issue purchase orders, generate requests for equipment start-ups, and coordinate with qualified vendors, subcontractors, and internal stakeholders.

Coordinate monthly customer invoicing in accordance with customer requirements and Project Manager direction to ensure timely and accurate billing.

Support project cash-flow management, progress billing, collections follow-up, and resource coordination.

Track and help maintain accurate project cost reporting, including time entry, vendor invoices, forecasting support, job costing, and cost-at-completion updates.

Monitor assigned project budgets and support expense control to help maintain financial performance.

Maintain accurate and complete project documentation and perform general administrative functions that support the operations process.

Communicate effectively with customers and their representatives, including building owners, mechanical contractors, subcontractors, other trades, and field support staff.

Maintain customer satisfaction by responding to concerns, helping implement corrective actions, and communicating proactively with customers and project teams.

Review billing backlog and coordinate with Project Managers, HVAC Field Technicians, customers, and claims teams to resolve invoicing or project execution obstacles.

Collaborate with regional leadership, contract management/legal, engineering, financial services, and other internal partners as needed.

What you will bring:
High School Diploma or GED and up to five (5) years of related experience and/or training, or an equivalent combination of education and experience.

Strong administrative and organizational skills with exceptional attention to detail.

Excellent written and verbal communication skills, with the ability to interact professionally with customers and cross-functional teams.

Demonstrated ability to prioritize multiple tasks and meet tight deadlines in a fast-paced environment.

Proven problem-solving, decision-making, and judgment skills.

Proficiency with Microsoft Office applications, including Outlook, Excel, Word, and Teams .

Strong computer, document management, and general business system skills.

Ability to work independently as well as collaboratively within a team environment.

Flexibility to work overtime or weekends as needed.

Preferred Skills:
Experience with financial systems and basic accounting processes, including accounts receivable and accounts payable.

Understanding of construction project administration documents.

Knowledge of construction law and regulations.

Annual Base Salary Range or Hourly Base Pay Range:
