About the role
Lotane & Associates is looking for a highly organized Project Coordinator to help manage and track a large number of internal projects across our Monday.com boards, including a large IS Team board and a separate board tracking approximately 50 automation and bot-related projects.
This is not a technical developer role and does not require legal experience. We will provide direction, project priorities, and instructions. The right person will turn those instructions into organized tasks, assigned responsibilities, due dates, timelines, follow-ups, and status updates.
The ideal candidate is someone who naturally likes organizing chaos. You need to be dependable, organized, detail-oriented, comfortable holding team members accountable for assigned tasks and deadlines. This position is a great fit for someone who enjoys creating order, tracking details, following up, and helping a busy team stay on schedule. This position is in-office, not a remote opportunity . Working schedule operates Monday-Friday with weekends off. Full-time or part-time employment may be discussed based of experience and the needs of the firm.
Key responsibilities
Organize and maintain Monday.com boards, ensuring they remain accurate, up to date, and easy to navigate across all active projects.
Track project statuses, deadlines, assignments, and next steps across many concurrent projects.
Create and update timelines, Gantt charts, dashboards, and project tracking views for leadership visibility.
Assign tasks to the appropriate team members based on direction from leadership and follow up to ensure on-time completion.
Identify when a project is missing a stakeholder, assignment, deadline, or next step, and flag it before it becomes a problem.
Prepare simple project status summaries for leadership and turn verbal or written direction into clear tasks and deadlines.
Track blockers, overdue items, and incomplete assignments and proactively communicate status to leadership.
Maintain oversight across multiple active projects simultaneously while ensuring tasks, deadlines, and updates remain on track.

Requirements
High school diploma or GED required.
Bachelor's degree in Business Administration, Communications, or a related field preferred.
Associate's degree or administrative training combined with relevant experience will be considered.
1–3 years of experience in an administrative, coordinator, project assistant, or operations support role required.
Excellent organizational and time management skills with the ability to manage many projects simultaneously.
Strong attention to detail and ability to take direction and carry it out accurately.
Clear written and verbal communication skills.
Comfortable using Monday.com or willing to learn quickly; experience with Asana, Trello, ClickUp, or Smartsheet a plus.
Experience creating timelines, dashboards, task lists, or project trackers preferred.
Proficient in Microsoft Office (Word, Outlook, Excel); strong computer skills overall.
Reliable, proactive, deadline-focused, and able to follow through without repeated reminders.
