The Project Coordinator for Site Management is an integral operations role that collaborates and supports the Site Management department in the overall success of material handling projects that range in technology and automation. The three principal areas of responsibility for this role is administrative support for our department, project level support to assist all of site management in specific tasks and leading process improvement opportunities in efforts to grow and evolve the Site Management department.

Job Functions:

Site Management external contract invoice management

Assist EHS with collecting project safety KPIs on a monthly basis.

Maintain and audit project folder structures to ensure most up to date forms are being used by the project.

Maintain Intranet SM Page

Organize SM demand tracking with SIQ and separate excel documents i.e. Resourcing Waterfall

Work with Project Management to ensure all SIQ entries are accurate for all Site Management Department – audit hours across projects to check for accuracy and monitor utilization %s.

Assisting Site Management department with completion of the Site Readiness Checklist at project initiation.

Liaison with Fastenal account by setting up accounts for the Site Managers on all active project sites.

Track and maintain all site management certifications and set up re-certification courses.

Track and maintain all internal trainings KPIs which include but not limited to department trainings, companywide security trainings.

Run other administrative reports as instructed by SM leadership

Assist Site Manager(s) by setting up project level logistics. i.e. Hotel rates.

Assist SM Leadership to organize/plan team workshops + summits

Maintain department SOP revisions up to date as kaizens are made.

Provide detail level training to new SMs on admin tasks (SIQ, Concur, ADP).

Roll out/train all new processes/kaizens and ensure execution on all projects.

Execute department goals/kaizens for Site Management.

Other duties assigned by leadership.

Travel Requirements:

30% overnight travel (Travel expenses paid by Toyota Automated Logistics)

Required Qualification s and Preferred Skills:

Bachelor’s Degree required.

Experience and/or education in Project Management a plus

Experience with Financials, including concepts of project ROI, Net Present Value, Cost to Complete, Cost at Completion, etc.

Advanced in MS Office software suite (particularly MS Excel and MS project)

AutoCAD experience a plus

Material Handling, Robotics, Manufacturing or Packaging background preferred.

Energetic, ambitious, and hard working

Strong interpersonal and communication skills

Strong demonstrated sense of customer service

Anticipate problems and drive risk reduction

Change agent and desire to enhance standard processes

Must be eligible to work in the USA long term without sponsorship.
